Why QuickBooks won't reconcile
Reconciliation fails when the transactions in QuickBooks don't match what your bank actually shows. The math has to balance to the penny — and when it doesn't, QuickBooks won't let you finish.
The frustrating part: QuickBooks tells you the difference, but not what's causing it.
The most common causes
Duplicate transactions
The same expense or deposit was recorded twice — usually because the bank feed imported it AND someone entered it manually. This inflates account balances and breaks reconciliation.
Learn moreUndeposited Funds with stuck balances
Payments are sitting in the holding account but were never matched to actual bank deposits. The deposits show up at the bank, but QuickBooks records them in two different places.
Learn moreUnapplied customer payments
A payment was recorded but not linked to an invoice. The cash is there, but it's not where the reconciliation engine expects it.
Learn moreBeginning balance doesn't match
Someone changed or deleted a previously-reconciled transaction. The starting point for this reconciliation is now wrong.
Bank feed pulled in the wrong dates
Pending transactions or weekend timing can cause the bank feed to record items on different dates than the bank statement shows.
Quick checklist when reconciliation fails
Before doing a deep clean, try these:
- Sort the reconciliation screen by amount — duplicates often appear next to each other
- Check the Undeposited Funds register for old, unmatched payments
- Run the Unapplied Cash Payment Income report
- Look for any transactions that were edited or deleted after a previous reconciliation
- Confirm your beginning balance matches last month's ending balance
If nothing obvious shows up, the issue is probably hiding across multiple categories — that's where this tool helps.
Skip the manual hunt.
