Export a QuickBooks General Ledger to CSV for a Cleanup Scan

Export your QuickBooks Online General Ledger, convert an Excel download to CSV when needed, and check the supported layout before uploading.

Export from QuickBooks Online

    Open Reports and search for General Ledger. Set the reporting period and basis you want to investigate, then run the report.

    Use the report export control. If your interface offers Excel, download the workbook and open it in a spreadsheet application. Do not rename an .xlsx file to .csv.

    Save the General Ledger worksheet as CSV (comma-delimited, preferably UTF-8). Preserve the report's grouping rows and column order. If the spreadsheet warns that only the active sheet will be saved, confirm that the General Ledger sheet is selected.

    Open the CSV in a text editor or spreadsheet to check the columns against the sample below. Upload only the period and data you intend to analyze.

Supported format

The current parser expects the illustrated English-language QuickBooks Online General Ledger layout: an initial grouping column followed by Distribution account, transaction date, transaction type, number, name, memo/description, split, amount, and balance. Account names appear on their own grouping rows. Dates use month/day/year and amounts use a decimal point.

Custom layouts, localized account names, and QuickBooks Desktop exports may not work. Bank statements, transaction-only bank CSVs, PDFs, and Excel workbooks are not accepted as substitutes. Compare the synthetic CSV before trying a custom export.

This synthetic file contains four expenses: two $280 entries with the same date and supplier, another $280 purchase on a different date, and a $1,200 uncategorized expense. The same detection engine used for uploads analyzes it.

Before sharing a ledger

A ledger can include names, memos, and business amounts. The demo requires no upload. For your own scan, the file is processed on our server and the resulting report is retained for 30 days. Avoid sending files through the support form; explain the format problem without including confidential transactions.
